AI can help prepare language and structure before a difficult conversation. It should not decide who is right, determine credibility, or replace the professional responsible for the case.
Useful preparation tasks
You can ask for neutral mediation questions, a Situation–Behavior–Impact opening, de-escalating phrases, a role-play of likely pushback, or a structured factual summary of notes.
Preserve the facts
Before using an AI-generated case summary, compare it with the original notes. A polished sentence is not evidence, and a misstated detail can become more serious when copied into a formal record.
Protect confidentiality
Use generalized descriptions and placeholders when possible. Do not paste confidential case histories into public tools simply to improve a draft.
Know when the risk is higher
Grievances, investigations, discrimination or harassment allegations, accommodations, termination, union activity, and other legally sensitive matters require the organization’s established process and may require qualified counsel.
The useful role for AI is to help the HR professional arrive better prepared: with clearer questions, a calmer opening, and a more organized draft.
